It arrives in CoMind's inbox, which is run for us by Cloudflare, a large web company that also hosts the site and your board.
Our AI reads it. That is Claude, made by Anthropic. It picks out the dates, prices and what needs doing, and writes them into your notes.
Your notes are stored in the EU, kept separate from everyone else's. Our tests check that one person cannot reach another's.
Your board is built from your notes, and a short reply email tells you what it found. The email is sent for us by a company called Resend.
That is everyone. Three companies help us run CoMind, each under a contract that lets them use your information only to do that job. Nobody else gets it.

You. Your board opens from a private link that is only ever emailed to your address. There is no password to steal. A link left unused for a week pauses itself, and only an email to your address switches it back on.
The AI, while it works on what you sent. It suggests things; it never acts for you. It does not contact anyone, buy anything or change an account on your behalf.
Us, the people who run CoMind. We don't read your notes. The only times we would are when you ask us to, for example to fix a problem or send you a copy, or when the law requires it. Our admin screen shows who uses CoMind, not what is on anyone's board, and it sits behind its own sign-in.
Nobody else. We do not sell your information, show you adverts or let anyone use it to train AI, and that includes Anthropic.

The email you forwarded is deleted after 7 days. What we keep is the notes the AI wrote from it, not the email itself.

Copies of the emails we send you stay with our email company for 30 days, then go.
Short-lived working copies made while your board is updated are deleted when it finishes, or within two days if it is interrupted.
Health details
Life admin often touches health. "Cancel the gym, my knee won't recover" is a health detail. We only keep one if you say yes. The first time something you send looks like health information, we set that part aside and ask whether you are happy for us to keep it. Say no, or nothing, and it is deleted after 7 days. Say yes and you can change your mind any time: reply "stop keeping my health details" to any CoMind email.
Our AI can miss one. Each night it looks again at anything new in your notes, and if it finds a health detail you have not agreed to, it sets it aside and asks you in the same way.

Email info@comind.life from the address you use with CoMind and ask us to delete everything. We remove your notes, your board, what you tapped and the link between your email address and your account, and we email you when it is done.
We will not pretend it vanishes that second. For up to 30 days afterwards, some of our records can still be restored from backups we cannot use day to day. Cloudflare's extra safety copies of your notes are deleted too, though it does not say exactly how long that takes. The reply emails we sent you stay with our email company until their 30 days are up. And if Anthropic's safety systems ever flagged something you sent, Anthropic can keep that piece for up to two years, which our deleting cannot reach. We would rather tell you that now than have you find it later.
You can also ask to see everything we hold, correct it, or take a copy as plain text files you can open anywhere. It is free, and we answer within a month.
What we never ask for
Bank account numbers, card details, passwords, passport, National Insurance or NHS numbers. CoMind does not need them, so please do not send them. If an email you forward has one in it, the AI is working from what needs doing, not from your identity.
